The Projects module provides you the ability to post and control projects, in accordance with your operational needs. It is used so as to manage at financial and time level any job or project and to derive its profit size. All application documents participate, even at line level, having a financial or informational role.   

## Configuration

 

Select from the main menu Parameters> Projects> Parameters and enter the following: 

- [Code format] for project entries. Click on Code format link in order to set through parameters the project code, as in other modules (customers, items, etc.).
- [Required], in case you want posting of a project in documents to be mandatory (in combination with field Special checks in the desired document types' configuration).
- [Check expiration date] if you want to run a check on the expiration date.


## Project Management

Selecting from the main menu Projects > Projects, the user can post the detailed data of a project.  The projects file is common with the Sales opportunities and Campaigns file and what distinguishes entries, in order to be depicted in the respective browser is the field Attribute (Picture 2.1). For each project Attribute a different mask is displayed. Project entries can initially be posted as Sales opportunities or Campaigns and during the construction phase of the project to be converted to a Project changing the Attribute field. The role of project entry is to link documents together in order to create a Project card (project reports) that includes all revenues - expenses - collections - payments linked to any document. The method of connection is:

- at document line level, that is in a purchase document one line with item A belongs to project X and the second line with item A belongs to project Y.
- at document level where, completing the project field links the total value of the document to the project.

 

In project entry you can post the following fields:

 


**Tab <General data >**

- **Branch: **The branch of the company concerned by the entry.
- **Business Unit:** The business unit of the company concerned by the entry.
- **Department:** The department of the company concerned by the entry.
- **Status:** Field status can automatically complete fields Status and Probability with the ability to set the use of the entry for projects, sales opportunities and campaigns.
- **Part of:** Connects the project with another project entry in the form of a subcategory. It is used for grouping project financial data.
- **Type:** Two possible values Internal - External
- **Category:** Projects categorization table. Ability to set the use of the entry to projects, sales opportunities and campaigns.
- **Save action Button:** Indirect action saving to which the project data fields are transferred.
- **Dates of Creation, Opening, Ending, Closing, Termination:** Information fields of date type.
- **Termination:** Information field of Yes/No type
- **Customer:** Connect customer entry with the project.
- **Branch:** Refer to the customer branch and is only available if the above field is completed.
- **Business Unit:** The business unit of the customer.
- **Salesperson:** The customer salesman.
- **Collector:** The customer collector.
- **G/L account:** Account field to be used in the design of a GL link where a project entry participates.
- **Cost Accounting account:** Account field to be used in the design of a CA link where a project entry participates.

 

**Tab <Construction Data & Portional ownerships>**

Includes the fields that refer to Technical companies and appears in the view only if you define in the Company parameters the relevant option (See Technical companies help). 

 

**Tab <User-defined fields>**

Includes 25 fields of five types (text, number, table, date, Yes/No) that you can rename in Project parameters. The fields are common for Sales opportunities, Campaigns and Projects.

 

**Tab <Comments>**

Includes a comments field

 

**Tab <Related files>**

Ability to add files of any type, as well as ability to create folders. Files are not saved in the data base, but the abbreviation is. To save them on the database you must select properties, right-clicking on one or more files and set field Save in database = Yes. Pay attention to the file size.

 

If you modify field Attribute to Sales opportunity or Campaign, then at the location of the General data tab, there shall be display of the respective tabs of each Attribute.

 

 

## **Reports/printouts**

 

Project reports include the following:

- General project tab that includes project transactions, value related or not and ability to depict transactions that originate from document lines or header (picture 3.1).
- Period trial balances with selection of items, services, customers, suppliers, revenues, expenses, collections, payments (picture 3.2).
