Using option Parameters / Cost accounting/ Cost accounting entries you can design the types and series to be used for posting your entries. Also, in this module you have the ability to design forms for printing your entries, as well as entry examples for quick posting. 

## Entry types 

Specify the code and description name of the transaction you wish to design. Then fill in the following fields:

- **Behavior:** Set the behavior of the type which must be the same with the type of the entry.

For example, if you design a transaction that refers to offsetting entries, you must select "Normal entry," if this refers to an op. balance transaction then, you must select respectively "Op. balance" behavior.

- **Journal: **Select the official journal to be updated when posting an entry of type.
- **Update values:** This parameter determines which accounts shall be available for selection, in accordance with the labeling in field "type of books." It also updates respectively the appropriate trial balances. Select one of three available options: G.A.S & IAS, Only G.A.S, Only IAS Default option is "G.A.S & IAS".
- **Automatic change of line:** Select whether line change in the accounting entry is to be executed automatically.
- **Entry type:** Updates the posting period of the accounting entry:
  - Op. balance: (Updates the op. balance period).
  - Normal: (Updates the normal periods of a fiscal year ie January - December).
  - Balance sheet: (Updates the closing period).
- **Entry balancing:** Select the line on which the entries are to be balanced.
  - None -> there is no automatic balancing during lines posting.
  - On the first line -> on the first line of the entry there is no posting of a value and the debit or credit is completed, depending on the transaction of the following lines.
  - On the current line -> each time you select an account on the line, the debit or credit is completed automatically in order to balance the entry.
- **Account:** Select the default account for the document lines. This field must necessarily be completed for the transactions participating in jobs, such as for example the fiscal year opening entries.
- **Entry columns:** Define a specific "model" for the columns to be used by the entry in its lines.
- **Comment:** Enter a comment to appear as default in the document created with the participation of this specific type.

## Entry series

- Series: This field is numeric and is completed with the codification you want to apply.
- Abbreviation: This field is alphanumeric and is completed with the abbreviation format you want.
- Type: Select the document type to be posted. A series can have only one type. A type can have many series.
- Name: Type name is provided automatically. However, you can modify it and the specific name to be provided to the user by default.
- Number: In this field you enter the starting number for the numbering of the specific series.

 

## General data

- **Auto numbering:** This is the internal ascending document numbering used by the application. The number is unique for each document series.
- **Document code composition:** The code number of the document is produced in conjunction with auto numbering and the abbreviation characters.
- **Manual series:** This is activated in case you wish to intervene to the VAT value of the document.
- **Strict numbering:** Refers mainly to electronic documents. If you set this parameter to "Yes", it is not allowed to delete a document, if there is another document of the same Series and greater number already posted.
- **Same numbering:** This parameter is completed if a series has auto numbering, but follows the numbering of another series. Here you can select the module from which this series originates.
- **Series:** Select the series with the same numbering that follows the series that you create. This system prohibits the selection of a series that does not have its own numbering, displaying message "The document with the same numbering must have its own numbering."
- **Printing mode:** Specify the printing mode of the series at the time of document posting. If "none" is selected, the document will not print and no message will be displayed. However, if there is a report form, then the user can manually select the printout.
- **Printer:** Select the default printer for printing the specific series.
- **Form:** Select the form which will print the specific series.
- **Copies:** In this field enter the number of printouts for the entry form.
- **Modify printed document:** No check, warning or prohibition for the modification of a printed document.
- **Reprint document:** No check, warning or prohibition for the modification of a printed document.
- **Default branches:** Define the default branch per series
- **Cost accounting:** Define the default C/A series
- **Business Unit:**  In this field, select the Business Unit to which the entries of this series belong to.
- **Reversing:** If you connect the electronic series with its respective canceling one, then when you right-click the documents list and run option "cancel by reversal" the screen shall display the cancellation document ready to be posted and the initial document shall be labeled "canceled".

 

**Special data:** Enter any comments you may have for the specific series.

**Rights:** In tab <Rights> specify which users shall have the right to use the specific series that you create.

 

## Series numbering

Option Parameters / Cost accounting/ Cost accounting entries/ Series numbering displays the last entry posting number per series.

## Report forms

Using option Parameters / Cost accounting/ Cost accounting entries/ Report forms you have the ability to design forms for printing the cost accounting entries.

**Entry columns**

Using option Parameters / Cost accounting/ Cost accounting entries/ Entry columns you have the ability to design the line columns on the posting screen of the cost accounting entries. 

## Standard comments 

Using option Parameters / Cost accounting/ Cost accounting entries/ Standard comments you have the ability to post ready comments, in order to select them during cost accounting entry posting.

## Entry examples 

Using option Parameters / Cost accounting/ Cost accounting entries you have the ability to design cost accounting entry examples. Entry examples are ready accounting entries with calculation type and default accounts, in order to enable and accelerate posting of standardized accounting entries. Entry examples are available in Related jobs on entries management screen. 

•Series: specify the series of the entry to be used for posting. 

•Branch, Currency: select the default branch and currency for the entry. 

•Comment: complete the default comment. 

•Accounts: In column "Account code" select the default accounts for the entry. In column "Debit-Credit" set which column will be updated (debit / credit) per account. In calculation formula specify the method for the calculation of the value in the specific account. If you select a calculation formula, the screen for the selection of calculation expressions is displayed. 

 

► Info: The application provides the ability of recurrent similar entries when entry examples are used.
