To configure the application follow these steps:

## **Create users / company persons**

### Users

Initially you must create the users who will work on the application. From Parameters-Security - Rights, you can register users and assign their rights (see more on users' rights in the relevant chapter).

### Company employees

In Employees module (Jobs - Human Resources & contacts - Employees), enter the people of your company. Each person must be connected to the corresponding user of the system as well as to a company department. The connection of the person with a user and company department is a necessary condition for the Group calendar to display the users of a specific group / department.

## Action types

From Parameters - Actions & CRM - Action types you can create a new action type in which you set the following:

- Code / Name: enter the entry code and the name of the specific action type.
- Trading party / collaborator: define the module (customers, suppliers, debtors, creditors) from which to select the trading party (and / or collaborator) foir the action using the specific type.
- Project type: select the type of project (project, marketing campaign, sales opportunity) in which to search the actions of the specific type.
- Start / End: Specify the method for the completion of the start and end (date and time) of the actions of this type. Accepts the values:
  - Blank: you type the start and end of actions.
  - Direct: if you select an action series of this type the start/end date and time are completed automatically.
  - During completion / cancellation:  The action start / end will be completed by the application when you select status labeling either "Completed", or "Canceled".
- Direction: select the default direction of the subject (In-Out). The direction determines whether the action is executed inside or outside the company. With regard to calls and emails, this refers to an incoming / outgoing action.
- Calculate duration [Yes / No]: if you select [Yes], the action duration will be automatically calculated (field "Duration") based on the start and end. Similarly, if you have completed the "Start" and type "Duration" the action end will be automatically completed
- Operator availability: with this parameter you can control, during posting an action to a specific operator, the availability of the operator for the start - end date and time defined for the action. Accepts the values:
  - No check : no check is executed concerning operator availability.
  - Warning: a warning message concerning the availability of the operator is displayed.
  - Prohibition: action posting shall be prohibited.
- Sales lead:  specify whether the default setting is for the action to refer to Sales lead.
- Campaign response: specify whether the default setting is for the action to refer to a marketing campaign response.

 

## Action series

 

To create a new action Series follow path: Parameters - Actions & CRM - Series.

Type the code, the abbreviation and select the actions type with which the specific Series is to be connected. 

"Name" is automatically completed with the name of the type you selected but you can change this name.

In parameter "Sub-module", you must set the module (General actions, Tasks, Calls, Meetings, Emails) will be available for the selection of the specific Series.

On page <General data>, the parameters refer to actions numbering and printing settings. These parameters follow the general rules of numbering and printing documents.

On page <Special data> enter (if necessary) comments on the specific Series.

On page <Next step details> set the Series (actions) in which the action of the specific Series can be continued, as well as the status/ labeling to be attributed to such action.

If you select "Only continued: [Yes]", this Series will not be available to users to be posted but shall only be selected for the next step (action).Selecting "Not continued: [Yes]", the action of this Series shall not be able to be correlated with another action.

On page <Access rights> define the users that will have the right to select the specific Series.

 

## Standard comments

In this table you can set the standard comments to be used as the subject of your actions.

 ► Info: The actions "Subject" is a field allowing selection of a comment from the table, or typing a comment of your own.

## States

In the States (actions) table (Parameters - Actions & CRM - States) you can enter the states to be used in your actions.

To create a new state select "New entry" and fill in the code and the name of this state.

In the "Status" field set the actual status of the action based on this labeling. Accepts the values: "Indifferent", "To start", "In progress", "Completed", "Canceled."

In the field "Modules" select in which the specific state shall be available.

## Lead source

In <Lead source> table enter the default values of the Sales opportunities indicating the origin of the sales opportunity.

## Parameters

In parameters you can specify the data that refer to Sales opportunities, as well as the action data display method and administration in Journals and right-click jobs.

On page <General>you can set the Sales opportunity parameters.

Define the sales document Series that refer to Customer Interest, Quotation, Order. If you set document Series through Sales opportunities, you can automatically enter sales documents (for customer interest, quotation, order).

 

► Info: The default Series available for selection are those whose type behavior is either [Quotation] or [Order].

 

Per Series: you can select a specific view which will display the sales document.

For each option you can also set the "New status" attributed to the Sales opportunity, as well as whether it shall be updated with the sales document value (field "Est. revenue").

In grid <Series per branch> you can set the Series used per company branch and in grid <User settings> you can specify a different Series and sales view per user.

On page <General> you can also specify whether the company uses contracts which are to be posted through Sales opportunities. Specifically: 

- In order to activate it you must select "Contracts: [Yes]".
- Contract series: When creating a contract through Sales opportunities, if you also want to post a contract document in the sales module, then you must set the Contract document series. The sales document type must have the following behavior: 501 - Contract, while it must also create a pending element.

► Info: With the Contract series set, if you select <To contract> from sales opportunity then the contracts view is displayed for the execution of posting, while the sales document that refers to the contract is posted at the same time. 

- Only items with win: in the sales documents with columns design, you can select column "Win". If you post a customer quotation and enter in this column the items finally purchased by the customer, in combination with "Only items with win" parameter, then if you select <To contract> from sales opportunity, then the contract shall display in default only the items the quotation lines of which have the setting "Win: Yes".
- New status: the status to which the sales opportunity evolves after contract posting.
- Update value: set to "Yes" if you want field "Est. revenue" of the sales opportunity to be updated with the contract value.

 

Page <**CRM Entries**> contains the parameters that refer to Journals, as well as, to the Series and views of actions that are proposed by default for each user.

In the "Show Calendar" area define the general parameters that refer to Journals (User and Group). Specifically:

- User journal: define the Series of the actions to be displayed in the user journal.
- Group journal: define the Series of the actions to be displayed in the group journal.
- Start / End Time: complete the default start and end time to be displayed as a time interval in journals.
- Color zone: select the color zone for the entries to be displayed in Journals. In the color zone set as the value the actions labeling code and the color (background or text, bold, italic, underline, strikeout) which will display the action of each labeling. For example, if you want pending actions to be displayed in Journals in bold letters and have a "Pending" labeling with code 1010, then in color zone you must set in column value, 1010 and in color column, bold.

- Details: specify the fields that will appear as the title, text and Hint of the actions to be displayed in Journals.

- Select users [Yes / No]: with this parameter you can set whether the Journals shall provide you the ability to select (as filters) the users, Company branch, or department.

These settings apply to all application users. If you want different settings per user or user group, use grid <User settings>.

In <User settings> grid, click on the user line (line zoom operation) to show the Journal display parameters as well as the parameters containing entries using right click function. In particular, you can set the actions series, the views activated and the cases in which they shall apply, that is through right-click, new action through journals, sales opportunities , marketing campaigns, next step action, or, and telephony.

If you need to set certain parameters for the users of a group or department, follow these steps:

1. Select a user of a specific group / department and set the parameters.
2. Right clicking on the user displays options <Transfer to Group> and <Transfer to department>.
3. If you select to transfer to Group, the same parameters are set automatically to all users in the group (of users) to which the user belongs.
4. If you select to transfer to Department, then the same parameters are set automatically to all users designated as employees (company people) and belong to the same department with the user.

► Info: if you set User settings these shall prevail over general parameters. 

## Draft entries parameters

In Draft entries parameters you can set the code format of the documents, as well as whether a check is to be run concerning the correctness or/and uniqueness of the Tax. Reg. No.

## Email templates

In email templates you can create templates, which can be used during emails sending per module (employees, contacts, customers, suppliers, debtors, creditors).

Using symbol  > Macro (inline-media-image)

 you can select the fields per module selected. In templates you can add images and hyperlinks. Templates can be selected through emails' related jobs.
