The context of cash accounts is used for the complete monitoring of the cash in hand of the company in any form (cash point, credit cards, bank accounts). Monitoring the cash transactions of the company using cash accounts provides direct information, at any time, for the financial status of the company. 

 

**Hint:** There must not be confusion between the company cash points (physical cashiers) and the cash accounts cashiers having the behavior <Cashier>. Depending on the requirements and as per the case, a cashier cash account may be linked with one or more company cash points (see Cash points monitoring)

 

## Configuration

1.**Cash accounts general parameters **(Application settings), where you define the format of the cash accounts' codes (see [Code formats](https://wiki.soft1.eu/space/SS5EN/189268499))

2**.Cash account transactions**, where there is planning of the transactions to be used for updating the financial data of cash accounts. The transactions planned here are set in the document types (cash point, remittances, collections/payments) either in the header, or in the lines. Through transaction planning you can define whether a cash account is to be debited or credited, positively or negatively by means of selecting an option of the relevant field.

3.**Cash accounts creation** (Banks/Cheques - Cash accounts), where there is registration of the cash accounts to be used. Parameter <**Nature**> constitutes the most important element, given it defines the account category and particularly: 

1.**Cash point:** for the cash lines 

2.**Credit card:** for the credit card lines 

3.**Cheques (receivables/payable):** for the cheques lines 

4.**Bank accounts (deposits/sight accounts/loans/warranties):** for bank accounts 

The constant fields display for each account is configured depending on the account behavior setting.

The fields to be completed (depending on the case, according to the above) are:

- Code
- Description

**General data **

- Account Nature: The nature of the account. Nature defines the display or non display of cash accounts in certain Selectors, as well as the fields to be completed in the cash account data.
- Account type:  Field for grouping bank accounts
- ΙΒΑΝ: the ΙΒΑΝ account for the bank account.
- Account No.: The account number as stated by the bank

**Belongs to:**

- Country: The country in which the account was opened
- Currency: The currency in which the account is monitored
- Bank: The bank with which the account is opened
- Bank Branch: The branch of the above bank
- Branch: The branch of the company that opened the account.

**Accounting accounts (To be used in links):**

- Accounting Account: General ledger account
- Cheques Payable Account:  Account for payable cheques

**Check balance:**

- Behavior: «No check» no check is performed
  - «Warning» In case that the account balance exceeds maximum or drops below minimum value, a warning message is displayed. However, the entry is registered.
  - «Prohibition» In case that the account balance exceeds maximum or drops below minimum value, a warning message is displayed and the entry is not registered.
- Minimum:  The minimum balance limit allowed
- Maximum:  The maximum balance limit allowed

 

In bank-assigned cheques tab define whether the specific account issues bank assigned cheques, including their available numbers (See Cheques)

1. **Link of document types with cash account transactions **

Completing cash account line transaction in the cashier document types activates the administration of the cash account, given that renders the completion of the cash account in the document line necessary in order to register the document (cash point/remittance/receivable/payable). Note that in each cashier document there is definition of the same transaction type for all lines (cash, credit card, cheques).

## Operation 

 

Cash accounts transactions are performed through commercial administration. In all cash transactions (see Collections, Payments), reconciliations of cash accounts (see Trading parties reconciliations), remittances and other cash account transactions(see Cash accounts Transactions & Remittances), either automatically (see Cash points monitoring), or manually there is determination of the cash account involved in the transaction.

 

Cash accounts transactions can be viewed either in the form of a tab, or in the form of a Balance (respective to the one of customers and suppliers), through relevant prints.
