The application integrates a user friendly system for the calculation and issuance of credit notes to discount documents for customers, based on Items and services sales. Moreover, the same system is available in Purchases where it is used mainly for checking the discount agreements with suppliers. 

## Configuration 

### Rules Creation 

First you must set the rules for calculating the discount credit notes for purchases and / or sales. To create the rules you follow path Parameters - Discount credit notes- Purchases/ sales: rules.


In the credit notes rule enter the following: 

- Applying field: select whether to set a specific value or percentage (%) in the rule scale for the calculation of credit notes (i.e. at 1.000 whether to create a credit note of x value, or th calculate it based on a percentage).
- Formula: select the formula as per which the rule shall be applied. Formulas refer to a trading party (customer or supplier), item, document line data, and document total data.
- Scaling: specify whether the discount scaling shall be executed per quantity, or value.

 

The completion of the scaling field is mandatory for the correct operation of discount policies.

 

- Series:  enter the document Series (items/ services/ debit/credits) to be taken into account when calculating the credit value based on this rule. In case these fields are left <blank> (without any selection), the credit notes calculation job shall include all available documents.

The Series proposed is Purchases/Sales that refer to items or services and Special transaction Series (customers /suppliers). 

 

If you have set the credit notes rule, you must fill out the applying **formula of this rule**. Through Parameters - Discount credit notes- Purchases / sales: conditions to be applied, select through the list the entry created with rule posting and fill in the data based on the parameters specified in the rule. 

Area "Filters" displays the filters based on the formulas you specified in the rule (for example if you set application based on customer and for specific items, then filters shall include fields "Customer" and "Item"). 

In <Rule data> grid you can set the dates for which the rule policy shall be valid and the data on which the rule is to be applied (formula). Per line (rule data), you must also set the scaling of your rule using the value or percentage (the one specified in the rule is the default). 

 

Info: 

- In discount policies scaling, the first line of scaling per value / quantity is considered to be the "to" quantity / value. Example, if you enter the value 6.000€ in the first line, and next to it a discount percentage/ value, this means that up to 6.000€ there shall be calculation of the specific percentage/ value you have set.
- If you do not wish to set a specific scaling (eg a rule as per which regardless of the turnover a credit of x value shall be provided), then in <Scaling> grid you must set field "Scaling by" to a large number eg 9999999999 and next to it, in field "Value or percentage" you must set the value desired.

 

If you select "Delete inactive" a check is run based on date and the entries which are no longer active (not valid according to the date) are deleted. 

 

### Parameters

In Purchases Parameters, area "Discount credit notes", you can set the parameters related to the Discount credit notes calculation job. Specifically:  

- Discount credit notes basis: set the value category to be used for the calculation of the discount credit notes.
- Counter-balancing: if this parameter is set to [Yes], the results of the calculation of credit notes includes reconciliation of the credit and debit documents.
- Independent of supplier agreement: If this parameter is set to [Yes], then, regardless of the credit agreement set for the supplier, during credits calculation, the application will check whether the trading party is included in another agreement / credit rule, and the calculation of credit will relate to all agreements.

 

 

Respectively, in Sales Parameters, in the "Discount credit notes" area set the following: 

- Credit note issue method: define whether the issuing process of credit notes due to turnover shall be completed with the issuance of sales documents or with a batch of special transactions documents (for customer credit) and inventory documents (to reduce the sale value of items).
- Discount credit notes basis: set the value category to be used for the calculation of the discount credit notes.

Then in the "Credit" and "Debit" areas, respectively, specify: 

- Sales series: parameter that depends on the setting of the "Credit note issue method" parameter. If you set [Issue method= sales document], you will need to select the Series of the sale document (credit / debit) to be issued by the credit notes issuing processes.
- Special transactions series: parameter that depends on the setting of the "Credit note issue method" parameter. If you set [Issue method= Documents, Special and Material], you will need to select the Series of the special transactions document (credit / debit) to be issued by the credit notes issuing processes.
- Inventory series: parameter that depends on the setting of the "Credit note issue method" parameter. If you set [Issue method= Documents, Special and Material], you will need to select the Series of the inventory document (credit / debit) to be issued by the credit notes issuing processes in order to achieve the appropriate reduction / increase in the sales value of the items involved in the calculation process.
- Credit / Debit Series for branches: in this parameter you specify the document Series per branch of your company.
- Special transactions debits/credits: if you set [Credit note issue method= Documents, Special and Material], then you must set the debits/credits that shall participate in the special transactions documents to be created.  If you select this parameter, you have the ability to define a different debit/credit per VAT category or/and accounting category of the items.
- Counter-balancing: if this parameter is set to [Yes], the results of the calculation of credit notes includes reconciliation of the credit and debit documents.
- Independent of customer agreement: If this parameter is set to [Yes], then, regardless of the credit agreement set for the customer, during credits calculation, the application will check whether the trading party is included in another agreement / credit rule, and the calculation of credit will relate to all agreements.

 

 

Per trading party (customers /suppliers), specify whether you wish a different price based on which there shall be calculation of the credit notes, as well as a specific credit notes rule. The connection of these data is executed through customer /supplier - page <Commercial> in area "Pricing policies, discount credit notes, agreements".

 

You can also set per item, whether it shall participate and in which way to the turnover scal for the calculation of discount credit notes.

## Operation

The jobs that refer to the discount credit notes are found in module Sales/ Purchases -Discount credit notes.

Using <Credit notes calculation>, calculate the credit note values. On the dialog screen displayed, select the following: 

 

- The time interval within which the documents to be included in the calculation were posted.
- The rule or rules to be applied.
- As an option, the trading parties to be included in the calculation.
- The companies branches for which the credit notes will be calculated.

Using option <Run> starts credit notes calculation. The completion of the job shall update the table with the calculation results and shall not generate documents in any case. 

 

<Credit notes results> displays the results from running the calculation job.  From this point you can execute the check of the results before documents posting.  

 

In the results you can modify the value of credit note, either per line, or for the total value of the credit note.

In order to automatically create credit notes (Sales module), using the Results browser, right-click on the selected entries and select "Create credit notes". This selection creates automatically the respective discount credit notes based on the parameters set in the sales parameters. 

 

To delete documents that were created automatically from the credit notes creation job, select job <Delete credit notes>. Job Delete credit notes exists only in the Sales module, through which you can automatically create documents. 

 


 

In print data you are provided with the data per agreement/ rule and for specific dates for the data entered.
